Volunteers on Wheels

Volunteer Admin Assistant

As Volunteers of Wheels grows to support more food banks across North London, our team of volunteers is expanding rapidly. We need an organized, detail-oriented Admin Assistant to be the backbone of our volunteer journey. You will ensure new volunteers are welcomed warmly, processed safely, and that our essential compliance records—like driving insurance and vehicle checks—are always up to date. Your administrative support directly ensures we have safe, eligible drivers on the road delivering food to those who need it most. Key Responsibilities 1. Volunteer Onboarding & Recruitment • First Point of Contact: Respond to initial enquiries from prospective volunteers via email or platform messages. • Application Processing: Send out application forms, track completions, and coordinate brief introductory chats. • Compliance Checks: Request, verify, and securely log required documentation (e.g., driving licences, proof of ID). • Welcome & Induction: Send out welcome packs, driver guidelines, and coordinate training or shadow shifts with experienced drivers. 2. Compliance & Record Keeping • Insurance Management: Collect and regularly update volunteers' personal vehicle insurance details (ensuring they have the necessary business/volunteer use cover). • Database Maintenance: Keep our volunteer spreadsheet or database clean, accurate, and GDPR-compliant. • Fleet Admin Support: Work alongside our Fleet Assistant to file basic vehicle health checks, fuel receipts, or garage invoices. 3. General Administration • Email Management: Monitor the central info/volunteer inbox and flag urgent matters. • Rota Support (Optional): Assist in updating the weekly driver rota or communication channels (e.g., WhatsApp groups) if drivers drop out.

Volunteers on Wheels

Volunteers on Wheels (VoW) collects and delivers food and other essential goods in bulk, to and for, food banks in North/Northwest London, Middlesex, Harrow and Hertfordshire, and surrounding areas.

Food banks have limited volunteer numbers and say our transport logistics service is a “vital link in the chain distributing more than 1 million food parcels per year” to vulnerable members of our society struggling with food insecurity and poverty.

Our service provides 3 additional social community benefits in the form of:
- Reduced food wastage.
- Reduced fuel consumption.
- Reduced environmental impact.

VoW currently supports over 40 food banks who help more than 30,000 people per week.
