Once your organisation is registered, a third tab will appear on the My Account page with the name of your organisation. It is important you ensure your charity’s tab is selected whenever you want to act on behalf of your organisation. See figure 2 of the screenshots.
From here, you will be able to modify your organisation’s details; see your organisation’s profile as volunteers will see it; create and modify your opportunities; respond to communications from volunteers; and give others permission to access the charity account.
When adding a new volunteering role there are four things to note:
- The more fields you fill in, the greater the chance potential volunteers will have of finding it. However, you should only add relevant information – don’t just tick all the boxes because you can! Note that only the first 2 lines of the description are shown in the search results, so make your first sentence appealing enough to tempt a volunteer to look further!
- The Display until box determines how long the opportunity will appear on the website. When the volunteer position is filled or no longer relevant, you should change this date to a date in the past. The opportunity will no longer be live but will still appear under View/edit opportunities on the My Account page. You will have the option to change this again to a future date if the opportunity needs to be renewed, without entering all the information again. See figure 3 of the screenshots.
- Every time a volunteer applies for an opportunity, a notification email will be sent. By default this will be sent to the email address you entered when registering the organisation. However, filling in the Alternative contact details boxes will mean the email is sent to the new address. See figure 3 of the screenshots. You will need to determine who the ‘relevant’ person is to respond to applications for your opportunity. It is important that this person has their own JVN personal account and that you give them permission to access the organisation’s account by clicking Organisation contacts on the My Account page.
- If you upload a PDF application form, you will be able to send this to volunteers after they apply via the communications system. See figure 3 of the screenshots.
